So we learned ALOT putting together this event here in Dallas and were thinking about how to apply that for perhaps a future event.
What are the thoughts here? Do you want to do it again? For those of you who do, how would you want to go about it?
IE:
We are entertaining the idea of setting up a 501c3 Dance from the Heart -North Texas Chapter . Chosing another fund raiser. We had a multi-dance event and think that keeping it more than just belly dance artists was a great idea to move forward with in the future.
Any thoughts? Ideas?

Thu, March 24, 2005 - 9:44 AMWe in San Diego are already making plans for next year. We haven't decided about what our cause du jour will be, but we're definitely planning for a 2006 Dance From The Heart Event. :)
But this time, instead of just the night show, we want to do an all-day multi-workshop event with a night show. With a year to plan it and the experience and knowledge we gained this year, we're confident that it'll rock. -

Thu, March 24, 2005 - 1:33 PMtellyawhat, the multi-genere workshop idea was a hit here. Most of the funds we raised were from workshops. We sold $50 day passes like candy. Dancers really seemed to like the idea of taking a hip hop class next to a tribal class next to a salsa class ( had she shown up the so-n-so). A huge hit was the Tribal/Caberet class. We had a dancer from each tag team the class to talk/show the differences of each one side by side. It did really well and there is lots of talk of making that a bigger deal...

Do you guys specifically want a North Texas Chapter, or would anyone be interested in working on one overall organization that would have national impact? Doesn't have to be just bellydance...
I've also been contacted about grants for continuing work, which would be invaluable in funding upcoming events. -

Thu, March 24, 2005 - 1:24 PMI love the idea of a national group it certianly lends us more prestige and makes us quite "real" if that makes sense. however I'm not sure how logistly (sp) well it would work. I know here it's difficult at best to get everyone tied down to meeting times and the like. However there are nation wide dealys that make it work, so it's gotta be possiable.
For our event it took 7 people and we're thinking moving forward, that it would be at least that many people, plus helpers, for next years event. How big would a national board be? Or would there be... say for instance 2 people on the national board from each area, who then would report to the local board? ( Which I think would be the best but setting it up- would that be a nightmare? Charter wise I mean? ) Would meetings be phone conferences? real time chat room? Would grants pay for our meetings? Flying everyone to say.... New Orleans, yea.... stay on the quater.. business expense......

Fri, March 25, 2005 - 4:21 PMThat's how my writing group is. We have the SD chapter, plus we have the national organization that we're under the umbrella of. I'm not sure, but I got the impression recently that the national organization has the IRS non-profit stuff and the individual chapters basically piggyback off of that--but again, I'm basing that on a stray comment, not specific information. It's something to look into, though. :)
And can I just say that I'm really looking forward to next year? We did great things with just a little time and super limited resources. Next year is going to totally rock! :) <Sorry, the child of the 80s in my brain reared her head. :P>

Fri, March 25, 2005 - 8:21 PMI think it could work nationally very similarly to what you've described. There could be a core group for the national level, comprised of two members from each chapter - a primary and secondary (Pres and Treasurer of each chapter), so that there will be at least one person from each area to attend meetings that can address advisory and financial plans.
From a logistical point of view, there could be biannual meetings of the national board (via video conference or straight web conference, depending on availability of web cams of each member)... or if finances allow, perhaps an annual meeting in a central location where all attend in person. :-)
I don't think it would be more difficult setting up the corporation or the charter, mission statement, financial structure, etc. than it would be setting up one - just more detailed in structure. More challenging, certainly. It would require legal counsel and a CPA to go over the structure for compliance with state and national laws, but you would want to do that at a local level as well.
Grants would help with funding the annual events - I'd certainly have to check the legalities, but I believe that most expenses would be covered. In any case, the travel and hotel expenses for a meeting would be something that would be written off in the taxes! ;-) Now we would just have to figure out how many Hurricanes per person can be considered a business expense... LOL
I think it's important to make a national organization a very flexible one - each local group will have their own ideas for how they wish to run their events, based on what works best for their area, local contacts for other types of dancers, etc. As long as the final goals are the same, i.e., representing dance in a positive way in order to do the most good for the cause being supported, and to work together to achieve that end... I believe it would be a success.
I think everyone learned a lot putting on these events (I know I did!), and we all have a lot to share with each other to make the future of the organization, in whatever form it takes, a very successful one. -

Sun, March 27, 2005 - 7:10 AMSo I guess the next step is to have the local areas involved chose two reps. with clear ideas of the local vision of the event.
Here in Dallas there is a great resource center for non profits that assist with set up. I am hoping to get an in this week or early next to do some resaerch on set ups. I know of a grant writer who works for a percentage only ( no money up front) for 501c3's. So that could come in handy.
A thought, Dallas is keeping it board an odd number ( no deadlocks). Find a way to do that for this board as well?
So we need to set up a meeting of sorts soon with the reps present. I would ask that only the reps from the area are there, just to save on time. Too many cooks and the like.

The national board can certainly have an odd number to keep that mindset going - good idea!
If anyone wants to meet in N'awlins for Memorial Day weekend, that's where I'll be! ;-) That would give us time to get the paperwork together (articles of incorporation, mission statement, yada, yada, yada)...
It would be cool if there was an event that many of the reps were attending, where we could combine purposes and do a dinner meeting or something... anyone going to Austin for Aziza? That's not until June... kinda far away.
Just tossing ideas out there....
More importantly - any other cities interested in doing this, and would you want to form your own chapter or be a part of the national group? It will work either way - just different levels of organization and responsibility...
